  • Sales Rep Acquires Signed Agreement generated by Proposal Generator
    • Sales Rep selects “Approved” in CRM “Proposal Generator” (Automation creates Google Drive Folder, Harvest Project)
    • Download approved PDF into Google Client folder (Proposals/Approved) (on the list to automate)
    • Add approved PDF to Airtable Project (on the list to automate), or approved via email confirmation with screenshot
    • If applicable, send intro email / introduce the Production Manager
  • Production Manager
    • Adds to Harvest/Forecast with budget time
      • Remove any tasks that should not have logged time against them
      • Add budgeted hours per task that should match proposal
      • Add any staff members to the project (some are not automated)
      • Uncheck staff that should not receive notifications on project budget
      • Check auto reminders to be sent when the project reaches 80% of budget
      • Import into forecast and tag as active, schedule hours
    • Sets up kickoff meeting
    • Create project checklist
  • Invoice Manager
    • Imports (or checks automation) all planned budget items
    • Invoices initial payment
